If you are new to IntelliBid version 7 and just settling down to learn all of its features, you’ll learn right away that setting up your Companies / Contacts should be the first thing you do. By entering all the Companies that you do business with on a daily basis along with the Contacts for each company, you’ll be capable of tracking all interaction and correspondence such as RFI’s, Transmittal’s, Bid Proposal’s and more with these Companies / Contacts. Before entering your contacts, organize them into “types” of entities, ie, Quote Vendors, Customers, Contractors, etc. By doing this, you can easily locate the contact when your interaction is recorded in the Journal Messaging Center.
Note: make certain that you add your company in Companies / Contacts if it isn’t listed and make certain that there is a check in the box for This is My Company. Also set the Company Type to Competitor because your company is competition to other bidding companies.


As you are entering information into Companies / Contacts, you may find that you need to add more information than IntelliBid has to offer in the Drop-down Menus. For example, there may be a need for a special mailing address or a phone number other than Business 1 & 2 and Fax. Well, there is a little known feature that can help out with that situation.

With many of the Drop-down Menus , you will notice a small black triangle to the right of the menu. With a left mouse click, it will present you with what it has to offer for values. But that may not be enough. IntelliBid will let you customize some of the Drop-down Menus enabling you to add special values that you need. Try this, Right click on the black triangle for Business Addresses. A message appears prompting you to Maintain Drop Down Values. Click on the prompt and a pop-up menu opens allowing you to input additional information into the Drop-down Menu.


In the example above, the addresses for Home and Warehouse were added to the menu by clicking the ADD button and typing a value. Immediately, the value is placed at the bottom of the list. Should you want to have a value set at a particular position in the list
(i.e.. Home as the first address), simply left click on the address you want relocated, hold down the left mouse button, then drag it to that position in the list. You can add many values to the list and reorder them in the way that suits your needs.

Customization of the Drop-down Menus is limited to the Companies / Contacts and Jobs areas. Most Drop-down menus in these two areas can be customized, but there are a few that cannot. Right click on a menu with a black triangle to see what happens. If Maintain Drop Down Values does not appear, then it cannot be customized.

One particular menu that lends itself well to customizing is located in the Jobs section. The Drop-down Menu is called
Occupancy Type and as you can see, there are many custom values that can be entered here.
IntelliBid menus come prepopulated with many choices but, there is room for more.
