IntelliBid User Tip : Frozen Bids

As you know, IntelliBid’s Bid Recap screen takes all your material and labor from Takeoff, and adds quotes, labor rates, direct job costs, profit, overhead, and so forth, to provide you with a final bid price. Of course, if you decide to change anything in Takeoff or Bid Recap, your final price will change.

Let’s think about that: If a final price is subject to change, it’s not very final, is it? You have to place a bid with this number, and once you send it out, you don’t want anything to alter it. The way to make this price truly final is to Freeze the Bid.

Once the bid has been completed to your satisfaction, go to the Top Sheet tab and look to the left area of the screen. You will find a button there that reads Freeze. Clicking this button locks down the bid so that no further changes can be made. IntelliBid also takes a snapshot of the Takeoff at that moment and stores it separately from your current Takeoff data. This means that you can do anything you want in Takeoff – add items, delete items, update pricing – and that frozen bid will remain just as it is.

There are other buttons on the toolbar which allows you to do addition things concerning the bid.

NOTE #1: If you do make changes in Takeoff and you would like to see those changes reflected in Bid Recap, you’ll need to UnFreeze the Bid Template, perform a Recalculation and then ReFreeze the Bid.

Once you freeze a bid it cannot be changed while it’s frozen but, it can be changed if you Unfreeze the Bid.  The frozen bid becomes more useful in other areas:

  1. Information from a frozen bid becomes available to export to the BidTrac and JobTrac programs for purposes of project management, scheduling, material procurement, and more.
  2. The bid total for a frozen bid appears in IntelliBid’s Job List screen that’s located in Job Registration. This allows you to filter the job list to display only those jobs that have been submitted, or those that have not.
  3. Quotes, labor rates, and phase selections from a frozen bid can be applied to Summary. In the lower left corner of the Summary screen you will see a Bid Name (PM) dropdown list. Select your Frozen Bid from this dropdown, and any Quotes you have selected in the Quotes Tabs for the bid will appear in your Summary list. In the Labor Totals section, selecting Dollars brings over the Average Hourly Labor rate from the frozen bid, which is then applied in Summary.
